These terms and conditions outline the rules and regulations for the use of Always Swim's Website, located at https://www.alwaysswim.co.uk.
By accessing this website, we assume you accept these terms and conditions. Do not continue to use Always Swim if you do not agree to take all of the terms and conditions stated on this page.
Booking and Payment
All lessons must be booked in advance through our official booking platform or by contacting our customer service team. Full payment is required at the time of booking to secure your lesson slot. Accepted payment methods include credit/debit cards, bank transfers, and any other methods specified on our website.
Confirmation of the booking will be sent via email once payment is received. Please retain this confirmation for your records.
Payment for Lessons
All term fees are detailed in your booking email. Payment must be made by the date requested, but no later than before your first lesson of the term. If you hold a credit for a canceled lesson, this will be deducted from your term fee. Non-payment of term fees will result in the cancellation of your lesson space.
Missed Lessons Due to Mild Illness/Injury or Holiday
Due to a very full timetable, we cannot provide catch-ups or refunds for missed lessons due to mild sickness, injury, or holidays. Please do not attend lessons if you or your child have any contagious illness, such as diarrhea, vomiting, severe cold or flu, conjunctivitis, chickenpox, etc. Ensure symptoms have cleared at least 48 hours prior to the lesson, or when your doctor has given the all-clear. For chickenpox, stay home until all spots have formed a scab, usually 5 days after they appear. If you or your child has a slight runny nose but feels active, you may attend unless advised otherwise by a doctor.
Missed Lessons Due to Serious Illness/Injury
If you or your child is unable to attend lessons for an extended period due to a serious illness, broken bone, or similar injury, please contact us and provide a doctor’s note via email. We will offer a credit or refund for the missed lessons. Credits and refunds are not available for holidays or mild illnesses.
Cancellation Policy
All cancellations must be made in writing via email or through our booking platform. No cancellations will be refunded unless the lesson is canceled by us.
In the event that we need to cancel a lesson, a full refund will be provided, or the lesson will be rescheduled at no additional cost. We will notify you as soon as possible in case of any cancellations from our side.
Rescheduling
Requests to reschedule a lesson must be made at least 24 hours in advance. Rescheduling is subject to availability and may not be guaranteed. Any rescheduling requests made less than 24 hours in advance may not be accommodated, and the lesson fee may be forfeited.
Late Arrivals
Lessons will commence and conclude at the scheduled times. If you arrive late, the lesson will still end at the originally scheduled time to accommodate the next client. Please ensure punctuality to maximize the benefit of the lesson. Repeated late arrivals may affect your ability to book future lessons.
Pool Closure
In the unlikely event of a pool closure due to mechanical issues or similar problems, we will notify you as soon as possible by email and, if very short notice, by SMS. A credit will be added to your account for the missed lesson. If you do not renew for the following term, the amount of credit will be refunded.
Double Nappy System for Babies and Toddlers
For babies and toddlers under 3 years old, or any child not yet potty trained, we require the use of a "double nappy system." This consists of a disposable swim nappy and neoprene pants with a snug fit around the waist and legs. This prevents accidents from leaking into the pool, which would necessitate pool closure for cleaning.
Independent Swimmers
If you or your child swim independently, a parent, caregiver, or responsible adult must remain at the pool (in the waiting/viewing area) for the lesson's duration. When collecting your child, ensure you are visible to the coach and that the coach acknowledges you before your child leaves the pool area.
Instructor Availability
While we strive to maintain consistency with our instructors, there may be occasions when a different instructor is assigned due to scheduling conflicts, emergencies, or other unforeseen circumstances. We assure that all our instructors are highly qualified and capable of providing high-quality instruction.
Safety and Conduct
Clients are required to adhere to all safety instructions and guidelines provided by the instructor. This includes, but is not limited to, proper swimwear, pool etiquette, and any specific rules pertaining to the lesson.
Any behavior that is deemed inappropriate, disruptive, or unsafe by the instructor may result in the immediate termination of the lesson without a refund. This includes, but is not limited to, aggressive behavior, failure to follow instructions, and any actions that may jeopardize the safety of others.
Rebooking Your Class
Four weeks before the term ends, we will contact you with next term’s dates and prices. Please respond promptly to secure your spot, as we have a waiting list.
Liability
We are not liable for any personal injury or loss of personal property during the lessons. All our teachers are insured, ensuring that you are covered in case of any incidents during the lessons. Clients must inform the instructor of any medical conditions, special requirements, or limitations prior to the lesson. Failure to do so may result in inadequate instruction or increased risk of injury.
Use of Facilities
Clients must comply with all rules and regulations of the facility where the lesson is conducted. This includes respecting the property, following pool usage guidelines, and maintaining cleanliness. Any damages to the facility caused by the client, whether intentional or accidental, may result in additional charges to cover the cost of repairs or replacements.
Home Visit Lessons
For home visit lessons, the client must ensure that the pool and surrounding area are safe and suitable for the lesson. This includes adequate water quality, safety equipment, and a clean environment. Any necessary permits or permissions for conducting home visit lessons are the responsibility of the client. We are not liable for any legal issues arising from the use of the client’s private pool. Clients must ensure that any pets, other household members, or distractions are managed appropriately to allow the lesson to proceed without interruption.
Data Protection Policy
Any personal information collected during the booking process will be kept confidential and used solely for the purpose of providing the lesson. We are committed to protecting your privacy and will not share your information with third parties without your consent.
